The ASEAN–India Spring Bazaar 2027, presented by Indoindians in collaboration with the Indian Mission to ASEAN, celebrates the connections between India and Southeast Asia through culture, commerce, food and community.

For one full day, Jakarta becomes a meeting place for the diverse cultures of Brunei Darussalam, Cambodia, Indonesia, Laos, Malaysia, Myanmar, the Philippines, Singapore, Thailand, Timor-Leste and India.

The Bazaar brings together businesses, entrepreneurs, artisans, creators, food brands and cultural communities, offering visitors an opportunity to discover unique products, flavours, traditions and experiences from across the region.

More than a shopping experience, it is a celebration of cultural and economic diplomacy—creating opportunities for people to connect, businesses to engage, and communities to discover what we share across borders.

Terms & Conditions

ASEAN–India Spring Bazaar 2027

1. Participation Fee
Registration is confirmed only upon full payment.

2. Event Date & Timings
Saturday, 6 February 2027 | 10:00 AM – 9:00 PM
The Westin Hotel, Kuningan, Jakarta

Booths must be fully set up and operational 30 minutes before opening and remain attended until the event closes.

3. Booth Allocation
Booth size and inclusions are as specified in the registration form. No additional tables will be provided. Any additional display units must remain within the allocated space and require Organizer approval.

4. Table / Booth Selection
Where applicable, vendors may select an available booth during registration. Allocation is confirmed upon successful payment. The Organizer may make reasonable changes to booth locations if required.

5. Products & Services
Only products, brands and services declared during registration may be displayed or sold. Any additions require prior approval from the Organizer.

6. ASEAN–India Representation
The Bazaar brings together India and all 11 ASEAN countries: Brunei Darussalam, Cambodia, Indonesia, Laos, Malaysia, Myanmar, Philippines, Singapore, Thailand and Timor-Leste. Vendors representing a specific country may be required to follow additional country display or branding guidelines.

7. Sub-letting
Sub-letting or transferring a booth is strictly prohibited. Substitute vendors require prior approval from the Organizer.

8. Cancellation & Refunds
Cancellation must be submitted in writing at least 30 days before the event to event@indoindians.com. A cancellation fee of IDR 1,000,000 applies. Cancellations made less than 30 days before the event will result in forfeiture of the participation fee.

9. Set-Up & Dismantling
Set-up, loading and unloading instructions will be provided before the event. Vendors must complete set-up 30 minutes before opening and must not dismantle before 9:00 PM without Organizer approval.

10. Loading & Unloading
Vendors must follow the venue’s designated loading and unloading procedures. Trolleys, cartons and large items must not be transported through the main hotel lobby or guest lifts.

11. Booth Staffing
Booths must remain adequately staffed and operational throughout the event. Representatives may rotate during the day.

12. Booth Decoration & Branding
All displays, branding and decorations must remain within the allocated space and must not obstruct aisles or neighboring booths. Venue guidelines must be followed.

13. Food & Beverage Vendors
Food vendors serving food for immediate consumption will operate only in the designated Food Court, unless otherwise approved. Packaged food vendors may be placed in the general Bazaar area.

All food vendors must comply with food safety, hygiene and venue requirements. Open-flame cooking and gas stoves require prior approval.

14. Electricity
Electricity requirements must be stated during registration. Additional electrical requirements are subject to availability and additional charges.

15. Promotion
Indoindians will promote the Bazaar through its website, newsletter, social media, WhatsApp communities and other relevant channels. Vendors are encouraged to promote their participation through their own networks.

16. Additional Vendor Promotion – IDR 1,000,000
Vendors may purchase one custom promotional post on each Indoindians social media channel, subject to availability.

17. Visitor Numbers & Sales
Indoindians does not guarantee visitor numbers, sales, revenue or commercial results.

18. Organizer’s Rights
The Organizer may make reasonable changes to the layout, booth allocation, program or operational arrangements for safety, venue requirements or smooth running of the event.

Event dates are subject to change up to 2 weeks before the event due to unforeseen circumstances.

The Organizer reserves the right to remove any unapproved product, display or activity that does not comply with these Terms & Conditions or venue requirements.
